Team Offsite Merchandise: Kits for Off-Sites, Retreats and Annual Outings

How to plan offsite merchandise by destination: matching team tees for photos, travel flasks and bags, venue or home delivery, and a timeline worked back from departure.

Good offsite merchandise does three jobs: it makes the group photo look like one team, gives people something useful on the trip, and reaches the right place before the bus leaves. In practice that means a matching DTF-printed tee and cap, a travel flask or bottle, and a bag suited to the destination, ordered early enough for production, transit and the venue's receiving window. This guide covers beach and hill-station kits, tee colours for group photos, venue versus home delivery, and a timeline you can work back from departure day.

What offsite merchandise is for: photos, belonging and utility

Before you pick products, be clear about what the kit has to do. Most offsite merchandise serves one or more of three purposes.

- Photos: the group photo lasts longer than the trip. It goes on LinkedIn, into the internal newsletter and onto the careers page. Matching tees and caps make a scattered group of 80 people look like one organisation.

- Belonging: for teams that meet in person only a few times a year, handing everyone the same tee on day one helps break the ice between people who mostly know each other from video calls.

- Utility: the best items get used during the trip and long after it. A flask on the bus, a tote at the beach and a backpack on a trek earn their place. Items that only work as souvenirs end up in a drawer.

Timing matters too. October to February is commonly cited as peak offsite season. Guides from Prolitee and Trekgo extend the best window to March for Goa and Mumbai-area venues. According to villa platform StayVista, companies should book venues 4–6 weeks ahead in this period. Lohono describes October–December as a popular window for company retreats and annual celebrations. Start the merchandise conversation when you book the venue, not after.

Destination-aware offsite kits

The destination should shape the kit more than anything else. The logo stays the same, but a beach retreat in Goa and a winter outing in the hills need different things in the box.

Beach and warm venues

For Goa, Alibaug, Gokarna, Pondicherry or a farmhouse outside Ahmedabad or Pune, plan around heat, sun and daytime activity.

- Cotton round-neck tees in a breathable weight for games, beach volleyball and the group photo.

- A Premium Cotton Cap for sun cover. Caps also look good in outdoor photos, and the logo sits at eye level.

- A Cotton Cloth Tote Bag for sunscreen, towels and phones on the walk to the beach. It is light, folds flat and is reusable at home.

- An insulated bottle such as the Smart Temperature Insulated Bottle - Black to keep water cool through long outdoor sessions.

Keep a warm-venue kit light. People carry it around all day, and nobody wants a heavy box in a humid room.

Hill stations and winter offsites

For Manali, Mussoorie, Shimla, Coorg or winter nights in Rajasthan, plan for cold mornings, bonfire evenings and treks.

- A Premium Cotton Sweatshirt works as the evening layer. It also photographs well around a bonfire or on a misty viewpoint.

- A double-wall thermos flask for hot chai or coffee on early starts and bus rides.

- The Premium Casual Waterproof Laptop Backpack for treks and sudden showers.

Matching team outing t-shirts: colours and placement for group photos

The matching tee is the centrepiece of most offsite kits. A few decisions make the difference between a good group photo and a forgettable one.

Colour choices

- Use one colour for the whole company when the main goal is the big group photo.

- Use one colour per team when the agenda includes team-building games. People find their teammates instantly, and the photos tell a story.

- Avoid colours that blend into the backdrop, such as sand tones on a beach or deep green on a lawn. Mid-to-deep shades usually hold up better in bright outdoor light than very pale ones.

- Check which colours are available on the product page before you finalise your scheme.

Logo placement

- A left-chest logo looks subtle and works for tees people will wear to the office later.

- A larger centre-front print reads better in wide group shots taken from a distance.

- A back print with the offsite name and year, for example Offsite 2027, shows up in trek lines, bus queues and shots taken from behind.

Collect sizes through a simple form before you order, and keep a few spares in common sizes for late joiners. The Round Neck Cotton T-Shirt - 180 GSM is the usual workhorse here. It is cotton, it is comfortable in heat, and it takes a DTF print well across front and back placements.

Will DTF-printed tees survive the pool and the sea?

This is the most common worry for beach offsites, and it deserves a straight answer. DTF prints hold up well to normal washing. Printer manufacturer Fujia, for example, says DTF transfers can last 50–100 washes. That is a wash figure, though, not a chlorine or saltwater test.

Some vendors claim DTF stays bright through chlorine and sea water, but we found no independent data to support that. DTF care guides, such as the one published by TUDTF, advise washing in cold water at no more than 30°C with mild detergent, and avoiding bleach and chlorine-based products. So treat offsite tees as tees, not swimwear.

Simple care tips to share with the team:

- Rinse the tee in fresh water after the pool or the sea, rather than leaving it damp and salty.

- Dry it in shade, not in harsh sun on the balcony railing.

- Wash it inside out in cold water, and don't iron directly on the print.

Mention this in a short welcome note in the kit. It costs nothing and helps the tees stay in rotation long after the trip.

Travel-ready drinkware and bags for the offsite journey

Offsites involve long bus rides, early flights and full days outdoors, so drinkware and bags get used the most.

Drinkware: we brand steel bottles and flasks with laser or UV printing. Laser marking is etched into the surface rather than printed on top, which suits bottles that get knocked around in bags. The Coffee Travel Double-Wall Thermos Flask suits hill-station mornings, and it also keeps drinks cool at the beach.

Bags: match the bag to the agenda.

- A tote suits beach days, local markets and light day trips.

- A waterproof backpack suits treks, rain-prone venues and offsites with working sessions.

- If the bag will be the first thing people carry onto the bus, ship it in the kit before departure rather than handing it out at the venue.

Offsite kit ideas: ready-made packs or build your own

You don't have to start from a blank sheet. Two preset packs map well to the two main offsite types.

The Corporate Creativity Box holds a premium polo, an insulated bottle, a cotton cap and a notepad with pen, packed in a magnetic box. It suits warm-venue retreats where the polo doubles as the photo tee and the cap handles the sun.

The Team Harmony Box includes a round-neck tee, a steel bottle, a double-wall thermos flask, a notebook, a touch pen and a metal business card holder. It fits hill-station or working offsites where hot drinks and note-taking both matter.

Packs are priced item by item. If you want a different mix, say a sweatshirt instead of a tee for a winter venue, put together your own combination in Build Your Box, or browse all preset packs for other starting points.

A few things to know about add-ons:

- Gourmet items, such as chocolates for a welcome treat, are sold only alongside at least one other product.

- Candles and packaging follow the same rule.

- Gourmet items carry no bulk discount.

Delivering offsite merchandise to the venue vs to employees' homes

Where the kits go matters as much as what is in them. Both options work if you plan for them.

Shipping to the resort or venue

This is one consignment to one address, with kits handed out at check-in or on the first morning. It is simple, but you depend on the venue's receiving process.

Hotel-delivery guides, such as those from Hotelinfo and Grammar Clubs, note that properties handle parcels differently. Some use the front desk, some a concierge or a receiving department, and some charge handling fees. Hold windows can be short. Disney's US resorts, for example, hold guest packages for up to seven days before check-in. We found no published norms for Indian resorts, so get the venue's policy in writing from its events team:

- Who receives and signs for cartons, and from what date?

- Where will the cartons be stored, and is the space secure?

- Are there handling or storage charges?

- How many days before arrival will the venue hold the shipment?

Label every carton with your company name, the name on the booking or the lead guest, the event dates, a carton count (for example, 3 of 12) and an on-site contact number.

Shipping to homes

Home delivery makes sense when you want people to wear the tee on travel day for airport or bus photos. It also helps when teams travel from several cities.

Timeline: working back from offsite departure day

Work backwards from the day the team leaves, in business days, and leave room for the venue's hold window.

- 6–8 weeks before departure: confirm headcount, destination, budget and delivery plan, ideally when you book the venue.

- 5–6 weeks before: shortlist products, collect sizes and share your logo. Review your designs in Mockup Studio.

- Mockup approval: about 5 weeks out if shipping by surface, or about 4 weeks out by air. Production starts only after you approve the digital mockup.

- Production: 7–10 business days after approval.

- Transit: 2–4 business days by air, or 5–9 business days by surface.

- Arrival: inside the venue's hold window, with a couple of days spare to count cartons and fix gaps.

Express production is possible only on selected items. If your dates are tight, ask us before you finalise products rather than assuming. October and November also carry Diwali gifting, so if you are planning both, lock offsite decisions early.

Budgeting offsite merchandise and bulk discounts

Every listed price includes standard logo branding and excludes GST, and every order comes with a GST invoice. Most products carry bulk discounts of 3% at 25+ units, 5% at 50+, 7% at 100+ and 10% at 200+. That helps for company-wide outings.

Rough bands to plan with:

- Under ₹500 per item: the round-neck tee, cotton cap, cotton tote and thermos flask each fit this band.

- ₹500–₹1,000: the cotton sweatshirt and the waterproof backpack.

- ₹1,000–₹2,000: ready kits such as the Corporate Creativity Box and the Team Harmony Box.

Check the product cards for live prices, since they update with the catalogue.

Frequently asked questions

How early should we order offsite merchandise?

Aim to approve mockups about five weeks before departure if you are shipping by surface, or about four weeks for air. Production takes 7–10 business days after approval, and transit adds 2–4 business days by air or 5–9 by surface. Add buffer for the venue's hold window and any size changes.

Can you deliver kits directly to the resort?

Yes, we can ship to the venue anywhere in India. Confirm the venue's receiving policy in writing first: who signs, how long it holds parcels and whether it charges fees. Label cartons with your company name, the booking name, the event dates and a carton count.

Will DTF-printed tees fade in the pool or the sea?

DTF prints hold up well to regular washing, but we found no independent tests on chlorine or saltwater. Ask your team to rinse tees in fresh water after swimming, dry them in shade and wash them cold. Following standard DTF care advice like this helps the print last.

Can different teams get different coloured tees?

Yes. Many companies use one colour per team for games and a shared logo across all of them. Check the colours available on the product page, and share a size list for each colour group.

Do bulk discounts apply to offsite kits?

Most products get 3% off at 25+ units, 5% at 50+, 7% at 100+ and 10% at 200+. Gourmet items carry no bulk discount.
