A catalogue PDF and a per-unit price are not enough. The twelve questions that separate a dependable gifting partner from a reseller with a brochure — and what a good answer sounds like.

Choosing a corporate gifting vendor is a bigger decision than it looks. The order is rarely small — a welcome-kit programme or a festive batch usually runs into lakhs — and the output lands directly in the hands of your employees and clients with your logo on it. A mediocre vendor doesn't just waste budget; it prints the evidence.

Yet most teams shortlist on two data points: a catalogue PDF and a per-unit price. This guide gives you the twelve questions that actually separate a dependable gifting partner from a reseller with a brochure — and tells you what a good answer sounds like.

First, know what you're actually buying

A corporate gifting order is four products in one: the items themselves, the branding applied to them, the kitting and packaging that turns loose items into a gift, and the delivery operation that puts the right box in the right hands. Vendors differ far more on the last three than on the first — almost everyone can source a notebook; far fewer can emboss it cleanly, pack it into a rigid box with an insert card, and deliver 400 of them to individual home addresses with per-recipient tracking.

Evaluate all four layers, not just the item price.

The 12 questions

1. Can I see a physical sample before the full run?

The single most predictive test. Product photos flatter; samples don't. A serious vendor offers paid samples for most items so you can check material quality and branding sharpness before committing. If samples are "not possible," the vendor hasn't seen the product either.

2. Which branding method will you use on each item — and why?

Logos are not applied uniformly. Screen printing, embroidery, DTF, UV printing, laser engraving, embossing and sublimation each suit different materials — engraving belongs on steel, embroidery on fabric, embossing on leather. A vendor who quotes "printing" for everything will screen-print your logo onto a flask where engraving would have lasted years. Ask the method per item; a good vendor explains the match without being prompted. (Our branding methods glossary covers what suits what.)

3. What is the real minimum order quantity — and where do prices break?

MOQs and volume tiers vary widely. As a benchmark: most customized products should be orderable from around 5 units, with per-unit prices improving meaningfully at 50+ and 100+ quantities. A vendor whose MOQ is 500 units is built for a different kind of buyer — neither answer is wrong, but you should know before you shortlist.

4. Is the quoted price the landed price?

The classic gifting surprise is a quote that grows 30% between enquiry and…

Red flags worth walking away from

- No samples, ever. You are being asked to trust a JPEG with lakhs.

- One price for every quantity. Real production has volume economics; a flat price means margin is hiding somewhere.

- "Everything is in stock." A catalogue of hundreds of customizable products is substantially made to order; claiming otherwise starts the relationship with a false statement.

- No proof step. See question 5.

- Quotes that dodge the boundaries question. See question 4.

How we answer these questions

We built Printing Labs around these twelve answers: paid samples on most items, branding methods matched to materials, MOQs from 5 units with visible bulk tiers, proof-first production in 7–10 business days with 4-day express available, individually addressed pan-India delivery with per-recipient tracking, GST-compliant invoicing, and a live catalogue with transparent per-product pricing. If you're comparing vendors for a specific programme, send us the brief — you'll get a landed quote with its boundaries stated, and we're happy to be measured against this checklist. Teams in Bangalore, Mumbai, Delhi NCR and beyond can also see how delivery works in their city.

Frequently asked questions

How many vendors should we shortlist?

Two or three is enough if you use this checklist — the questions eliminate quickly. Order samples from your top two and let the physical products decide.

Should we choose a local vendor or a national one?

Choose on capability, not pin code. Production quality, proofing discipline and delivery operations matter more than the vendor's city — a strong vendor ships pan-India with tracking either way.

What's a reasonable per-head budget to start with?

Most Indian corporate gifting briefs land between ₹500 and ₹2,000 per recipient. Our budget collections for under ₹500, under ₹1,000 and under ₹2,000 show what each band realistically buys.

When should we start the vendor conversation?

For festive programmes, 4–6 weeks before the occasion; for onboarding kits, before your next hiring batch is signed. Samples, proofs and production all consume calendar.
