Dealer Meet & Channel Partner Gifts: Picks, Tiers and the TDS Line to Watch

How to tier dealers, pick dealer meet gifts they use daily, choose co-branding, plan delivery, and keep a per-dealer annual tally against the gift TDS threshold.

Good dealer meet gifts do three jobs. They thank the partners who moved your numbers, they get used every day at the shop or on the road, and they keep your brand in front of the people who sell it. The short answer is to tier your dealers first, pick travel, desk and counter items they will actually use, and keep a running annual total of what each dealer receives so you know where you stand against the gift TDS threshold.

What a dealer meet gift is supposed to do

A dealer or distributor is not an employee, and not quite a client either. They decide which brands get counter space, which schemes get pushed and whose catalogue the salesperson opens first. A gift is a signal that you see that effort.

A well-chosen channel partner gift should:

- Recognise performance in a way the dealer can see, without making smaller partners feel ignored

- Be useful in the business, at the counter, at the desk or on sales visits, so it is not just kept in a box

- Carry your brand where customers and dealer staff see it, quietly and every day

What it should not be is one identical gift that treats your largest distributor and a retailer who joined last month the same way. If your dealer meet falls in January to March, which is Q4 of the Indian financial year, the gift also works as a year-end thank-you and a kick-off for next year's schemes.

Tier your dealers before you pick dealer meet gifts

Start with the dealer list, not the catalogue. Ask your sales team for the full list and sort it by criteria you already track, such as volume, growth, scheme achievement or years with you. For most manufacturing, auto and FMCG networks, three tiers are enough.

Top performers

This is a small group, and the gift should feel considered. A complete pack or a bigger item works here, and because the numbers are small, co-branding with the dealer's shop name becomes practical (more on that below). Think of a full business box, or a tech item such as the Bamboo Wooden Power Bank - 10000mAh paired with a leather accessory.

Active network

This is most of your list: dealers who order regularly and run your schemes. Give them one solid, useful item or a compact pack with consistent branding. A travel-focused leather set or a good laptop backpack fits well. The under ₹2,000 collection is a practical place to shortlist for this tier.

Event attendees

This tier is everyone in the room, including dealer staff, your sales executives and guests. The gift is handed out at registration or dinner. It should be lighter in value and easy to carry home, because many attendees will have travelled. Folders, cheque book holders and flask sets in the under ₹500 band do this job well.

One rule saves confusion later.

Gifts dealers actually use: travel, desk and counter

Dealers spend their days in three places: on the road visiting sub-dealers and customers, at a desk doing orders and accounts, and at the counter facing walk-ins. Pick gifts for those places.

On the road

A laptop bag that survives monsoon travel gets used every day and is seen by everyone the dealer meets.

Product Card: Premium Casual Waterproof Laptop Backpack

It is branded with DTF printing and works as a stand-alone gift for the active network. You can browse more options in Bags & Travel.

For dealers who host customers at the shop, a flask set does double duty: chai on the road, or tea served across the counter.

Product Card: Stainless Steel Vacuum Flask Set with 3 Cup

The steel body takes laser or UV branding, and it sits in the under ₹500 band for event attendees.

For dealers who spend long days on field visits, the Bamboo Wooden Power Bank - 10000mAh is a top-tier option in the ₹1,000–₹2,000 band. It is laser-branded on the bamboo.

At the desk and counter

Dealer counters run on paper: order forms, scheme circulars, price lists and delivery challans. The Leatherette Organizer Folder keeps them in one place. It is laser-branded on a steel logo plate, so your logo sits on the desk all year.

Many dealers still handle cheques from sub-dealers and institutional buyers. The Premium PU Leather Chequebook Holder is a small, practical gift that gets opened at the counter often.

Ready-made packs for channel partner gifts

If you would rather not assemble kits item by item, two packs suit dealer tiers.

For top performers, the Luxor Business Gift Box combines a waterproof laptop backpack, a polo T-shirt, an insulated bottle, a notebook, a touch pen, a mug, a mouse pad and a keychain in a magnetic box. It covers the road, the desk and the counter in one gift.

For the active network, the Executive Essential Pack is a PU leather travel set: pouch, keychain, wallet, card holder, passport holder and luggage tag, in a magnetic box. It suits dealers who travel for supplier visits and trade fairs.

A few points on pricing to keep in mind:

- Packs are priced item by item, and listed prices include standard logo branding and exclude GST

- Most products get bulk discounts of 3% (25+), 5% (50+), 7% (100+) and 10% (200+). Gourmet items get no bulk discount

- Gourmet food, candles and packaging such as the magnetic box are add-ons, sold only with at least one other product

You can see more ready kits on preset packs, or ask us to put together custom tier-wise boxes from individual products.

Branding dealer gifts with logo: yours, or co-branded with the dealer's shop

You have two sensible options.

Your logo only. This is the simplest route: one artwork, one mockup and consistent branding across hundreds of units. It suits the active network and event-attendee tiers.

Co-branded. Your logo appears alongside the dealer's shop name or logo. A dealer is more likely to keep a co-branded folder or flask on the counter, because it promotes their shop as well as yours. The catch is that each dealer's version needs its own artwork and its own mockup approval. That is why co-branding is most practical for the small top-performer tier. Tell us how many versions you need and we will confirm what is feasible for your quantities.

Co-branding needs some housekeeping:

- Collect clean logo files from each dealer, along with their go-ahead to use them

- Decide on placement and the relative size of the two logos up front, so no partner feels shortchanged

- Match the method to the product: DTF on backpacks and apparel, laser on PU leather goods via a steel logo plate, laser or UV on steel flasks and bottles, laser on bamboo

To see both logos on a product before you commit, try Mockup Studio. Every order still goes through a digital mockup approval before production.

The annual per-dealer tally and the TDS line under Section 393

This section is not tax advice. Please confirm the details with your CA before you plan budgets.

According to Bajaj Finserv's explainer on Section 194R, that section covered TDS on benefits or perquisites given to a resident in the course of business or profession. From 1 April 2026, the corresponding rule sits under Section 393(1), Table serial number 8(iv), of the Income-tax Act, 2025. The same explainer gives a TDS rate of 10% and an annual threshold of ₹20,000 per recipient, and says the benefit can be in cash, in kind or both. Because this is a secondary source, ask your tax team to check it against the text of the Act.

The practical point is that the threshold, as described there, is annual and per recipient, not per gift. A dealer who gets a Diwali gift, a dealer meet gift and a scheme reward in the same year has all three in one total.

How to keep the tally

Keep one sheet with a row per dealer, using their PAN or GSTIN as the key, and these columns:

- Date and occasion (Diwali, dealer meet, scheme payout, launch)

- Item or benefit given

- Value as per invoice (every Printing Labs order comes with a GST invoice, which makes this easy)

- Running total for the year

Bring these questions to your CA:

- Is value counted including or excluding GST?

- Which year does the new Act use for the threshold?

- How is TDS handled when the benefit is purely in kind?

Logistics: delivery to the hotel venue vs ship-to-shop

Delivering to the venue

A gift handed over on stage or at dinner has more impact. The trade-offs are storage, handling, and attendees carrying cartons home on flights or trains. If you deliver to the hotel, confirm receiving hours, storage limits and any handling charges with the venue's events team in writing. Ask for cartons to be labelled by tier, and keep a small buffer for walk-in attendees.

Shipping to each dealer's shop

We ship pan-India, so each dealer's gift can go straight to their shop. This suits dealers who could not attend, heavier items like backpacks, and co-branded gifts that belong on that dealer's counter anyway. Clean up the address list early: shop name, contact person, phone number and PIN code.

The hybrid that usually works

Hand out the light attendee gift at the venue and ship the tier gift to the shop. Attendees travel light, and the larger gift arrives where it will be used. Keep event hospitality and gifts as separate lines in your records, and get your CA's view before adding leisure extras to the meet. If you run several gifting moments across the year, campaigns can help you plan them together.

A working timeline for a January–March dealer meet

Work backwards from the meet date.

- Tier list and quantities: finalise with sales first, because everything depends on it

- Artwork and mockups: allow extra time for co-branded versions, since each one needs approval

- Production: 7–10 business days after mockup approval

- Delivery: 2–4 business days by air, 5–9 by surface

After approval, production plus surface delivery comes to 12–19 business days, which is close to four working weeks at the upper end, and that is before you add internal sign-offs. Express is possible only on selected items, so if your date is tight, ask us before you shortlist.

Ready to plan? Send your tier list, rough quantities and meet date through contact us for a tier-wise quote, or upload your logo in Mockup Studio to see it on the shortlist first.

Frequently asked questions

Is TDS due on dealer gifts, and from what value?

According to Bajaj Finserv's explainer, from 1 April 2026 the rule sits under Section 393(1), Table serial number 8(iv), of the Income-tax Act, 2025, at 10%, with an annual threshold of ₹20,000 per recipient. Treat this as a starting point and confirm it with your CA against the Act itself.

Does the ₹20,000 count per gift or per year?

The source describes it as an annual threshold per recipient, so it is a yearly total, not a per-gift limit. That is why a running per-dealer tally across Diwali, dealer meets and schemes matters. Your CA can confirm which year definition applies under the new Act.

Can dealer gifts carry the dealer's shop name as well as our logo?

Yes, co-branding is possible on products whose branding method allows it. Each version needs its own artwork and mockup approval, so it works best for a smaller top-performer tier. Share the number of versions and we will confirm feasibility.

What is the lead time for logo-branded dealer gifts?

Production takes 7–10 business days after mockup approval. Delivery takes 2–4 business days by air or 5–9 by surface. Express is available only on selected items, so ask us early if your date is tight.

Can you ship gifts to each dealer's shop instead of the venue?

Yes, we ship pan-India, so you can send gifts directly to dealer shops, to the venue, or split the order between both.
