Financial Year-End Gifting Budget: How to Use It Well Before 31 March
Gifting budget left before 31 March? Three smart ways to use it, what to agree with finance first, and the 2027 calendar maths that decides your order date.

If your team still has gifting budget as 31 March gets closer, don't rush into a bulk buy. Put the money into one of three planned uses instead: onboarding kits for Q1 hires, recognition gifts that close Q4, or thank-you gifts for dealers and partners. This guide covers each one, what to agree with finance before you order, and the 2027 calendar maths. The short version: approve your mockup by the last week of February if you want goods delivered before Holi week.
The March problem: why year-end gifting budgets get rushed
Many Indian organisations run their budgets on a use-it-or-lose-it basis. Whatever isn't spent or committed by 31 March doesn't carry into the new financial year. This is company policy, not law. Some companies allow carry-forward and others don't. Your own finance policy is the only rulebook that matters.
When the policy is strict, the same pattern shows up every year. Someone notices the unused amount in the second or third week of March. A vendor gets a panic call, and the team settles for whatever can ship fastest. The usual result is generic items, a logo placed in a hurry, and boxes still stuck with couriers during Holi week.
You can avoid this by deciding what the money is for in February and working backwards from the calendar.
Settle these questions with finance before you shortlist anything
Five minutes with your finance or accounts team can save you a lot of rework. Ask them:
- What counts as spent? Is it the invoice date, the payment date or the date the goods are received? Each company answers this differently.
- Which cost centre? Onboarding, rewards and channel-partner gifting often sit in different budgets (HR, admin, sales).
- Is there a per-person ceiling? Many gifting policies cap the value per employee or per partner. Gifts to employees and business associates can also have tax consequences above certain values.
- Can an advance be booked against this year? This decides whether pre-ordering for April makes sense at all.
With those answers in hand, choose from the three uses below.
Smart use 1: pre-order onboarding kits for Q1 hires
For many companies, April to June brings a fresh wave of joiners. That includes lateral hires after appraisal season, new roles opened in the new budget, and in some sectors the first campus batches. Buying their welcome kits now means day one is sorted, with no scramble in April.
One caution: this is the use most likely to be treated as a prepaid expense rather than a cost of FY 2026-27. That's especially true if the kits will be handed out after 31 March. Clear it with finance before anything else.
What a strong Q1 welcome kit looks like
A ready-made pack saves you from approving ten separate mockups. The Signature Selection Kit combines a waterproof laptop backpack, a polo, an insulated bottle, a tumbler, stationery, a mouse pad and a welcome card in a magnetic box. It covers everything a new joiner uses in their first week.
Product Card: Signature Selection Kit
For senior hires or leadership roles, the Prime Welcome Pack adds wireless earbuds and a chocolate treat to a similar core. It makes a more premium first impression, and all the branded items carry your logo. If these kits will wait until May or June before they are handed out, ask us about leaving the chocolate out, because food has a shelf life.
Product Card: Prime Welcome Pack
If your new joiners are mostly hybrid or remote, add a Laptop Stand - Aluminum with a laser-engraved logo.
Smart use 2: close Q4 with recognition gifts
March is when targets close, appraisal conversations start and teams want to mark a hard year. A well-chosen recognition gift timed with year-end reviews often means more than another generic festive box.
Recognition works best when the item feels personal and useful, not promotional. Two options that fit the ₹1,000–₹2,000 band today:
Product Card: boAt Rockerz Wireless Headphone
Wireless headphones suit top performers who spend long hours on calls or travelling. The logo is applied by UV printing and stays subtle.
Product Card: Wangari Willow 2.0 Wireless Charger with Cup Warmer
The Wangari Willow 2.0 Wireless Charger with Cup Warmer is a good desk-level reward. It charges a phone and keeps a morning coffee warm, so people use it every day.
For larger teams, a smaller gift for everyone often goes down better than a big one for a few. The Smart Temperature Insulated Bottle - Black takes a laser or UV logo and has a temperature display, and it works as a team-wide thank-you. Pair it with a handwritten note from the manager. Smart use 3: thank dealers, distributors and channel partners
For sales-led businesses, Q4 is when channel partners push hardest to close numbers. A year-end thank-you before the new financial year's targets arrive builds goodwill when it counts.
Partner gifts should look premium and travel well:
- Leather-finish accessories: the Executive Essential Pack brings together a PU leather pouch, wallet, card holder, passport holder, keychain and luggage tag in a magnetic box. Each PU leather piece is laser-marked on a steel logo plate.
- Everyday carry: the Premium Casual Waterproof Laptop Backpack with a DTF-printed logo gets seen at every client meeting your partner attends.
- A gourmet add-on: dry fruits or chocolates make a gift feel warmer. Gourmet items are sold only together with at least one other product, and they carry no bulk discount.
Invoice date vs delivery date: your finance team decides what counts
This is where many March orders go wrong. A buyer assumes that an invoice dated in March books the cost in March. Often it doesn't.
Under accrual accounting, many finance teams record an expense when the goods are actually received. They don't go by the invoice or payment date. Something paid for in March but delivered in April may be booked as an advance or prepaid expense, which moves it into the next financial year. Auditors may also question large bookings made in the last week of March.
So the practical rule is simple. Don't plan around a March invoice saving your budget. Ask finance how they will treat it, and plan for the goods to arrive before 31 March if this year's budget is the goal. Every Printing Labs order comes with a GST invoice. Your accounts team decides how and when it is booked.
GST and gift tax: what not to assume
Two common assumptions are worth checking with your CA before you order:
- Input tax credit: credit on goods given away as gifts is generally restricted. That means timing the invoice rarely saves any GST for gifting purchases. Your CA can confirm how this applies to your company.
- Taxability for recipients: gifts to employees above certain values can become taxable for the employee, and your policy may set its own caps. Again, confirm the thresholds with your CA rather than relying on rules of thumb.
The March 2027 calendar maths
Once finance confirms that goods should arrive before 31 March, the calendar becomes your real deadline. In 2027, 31 March falls on a Wednesday, and the last full week of March is badly broken.
Holi, Good Friday and a three-day week
Festival calendars such as HinduHub list Holi on Monday, 22 March 2027. Others, such as Samvat, give Tuesday, 23 March, and state holidays may fall on either day. According to Awareness Days, Good Friday falls on Friday, 26 March 2027. Eid-ul-Fitr may also fall in March depending on the moon sighting, so check your state's holiday list as well as the RBI bank holiday calendar once it is published.
That leaves the week of 22–26 March with possibly just three working days. Courier pickups, office receiving desks and your own approvers may all be thin. Treat Friday, 19 March as your realistic "goods in hand" target, not 31 March.
Working backward from a safe delivery date
Production takes 7–10 business days after mockup approval. Delivery takes 2–4 business days by air or 5–9 by surface. Working backwards from a 19 March delivery:
- Delivery by Friday 19 March (target)
- Dispatch by around Monday 15 March for air. For surface, dispatch needs to be roughly a week earlier.
- Production starting by about Monday 1 March to allow the full 10 business days
- Mockup approved in the last week of February.
What not to buy in a hurry
March panic produces the same regrets every year. Avoid these:
- Items chosen only because they're in stock. If nobody on your team would use it, recipients won't either.
- Untested branding. Skipping the mockup to save a day is the most expensive shortcut. Always approve a digital mockup before production.
- Oversized orders to "finish the budget". Unused stock sitting in a storeroom is not a good use of money, even if it clears the number.
- Gourmet-heavy boxes for April hand-outs. Food has a shelf life. It suits gifts given now, not kits that will wait for joiners in June.
- Packaging-only upgrades. Magnetic boxes, candles and gourmet items are add-ons sold only with at least one other product, so they can't make up an order on their own.

Frequently asked questions
Can we invoice in March and take delivery in April?
We issue a GST invoice with every order, but how it is booked is your finance team's decision. Many companies treat goods received in April as an advance or prepaid expense for the next financial year. Confirm with finance before relying on a March invoice.
What's the last safe date to order for delivery before 31 March 2027?
Aim to approve your mockup in the last week of February. With 7–10 business days of production and 2–4 business days for air delivery, that lands goods around 19 March, before the Holi and Good Friday week. For surface shipping, start about a week earlier.
Can we claim GST input tax credit on corporate gifts?
Credit on goods given away as gifts is generally restricted, so timing the invoice rarely saves GST. The details depend on how your company uses the goods. Please confirm with your CA.
Are gifts taxable for employees above a certain value?
Gifts to employees above certain values can become taxable for the employee, and many company policies also set their own caps. Check the current thresholds with your CA before finalising per-person budgets.
Can we order Q1 onboarding kits now and release them as people join?
Ordering a quarter's kits together can help you reach a higher bulk discount tier.
