How to Plan a Year-Round Corporate Gifting Budget (FY 2027–28)

Set your corporate gifting budget once in April: list recipients, map FY 2027–28 occasions, assign budget bands and use bulk tiers, with a worked plan for 200 people.

A corporate gifting budget plan is one document, set in April, that lists every recipient group, every gifting occasion in the financial year and a per-head budget band for each. The short answer: plan once and you spend less, because combined orders reach better bulk tiers, you avoid last-minute rush orders and finance approves one budget instead of a dozen requests. This guide covers five steps and a worked plan for a 200-person company in FY 2027–28.

Why one annual corporate gifting budget plan beats a dozen panic orders

Few HR or admin teams set out to overspend on gifting. It happens one order at a time: a rushed Diwali order, a client gift two days before a review meeting, joining kits ordered one at a time as each new hire confirms. Each small order misses quantity discounts, needs its own approval and has to fit into an already full production schedule.

An annual plan fixes three problems at once:

- Price: fewer, larger orders reach better bulk-discount tiers.

- Time: you know when every occasion falls, so you can work back from production and delivery lead times.

- Approvals: finance signs off one budget, broken down by occasion, instead of a string of separate requests.

According to Tapwell, a gifting vendor, 67% of companies now operate with a defined gifting budget. Tapwell does not name the survey, sample or year behind that figure, so treat it as a rough indication rather than a benchmark. Either way, a plan is far easier to defend in a budget meeting than a pile of separate invoices.

Step 1: List every recipient group and forecast FY 2027–28 headcount

Start with people, not products. Recipients usually fall into five broad groups:

- Current employees: headcount on 1 April plus expected net growth.

- New joiners: lateral hires, the campus batch and interns.

- Award and milestone recipients: quarterly awards, work anniversaries, long-service milestones.

- Clients and partners: split into tiers, such as key accounts and regular accounts.

- Event attendees: offsites, town halls, conferences and hiring drives.

Ask HR and finance for the year's hiring plan. For gifts that go to everyone, such as Diwali, plan for the headcount you expect in October, not the April number. Add a buffer of 5–10% for late joiners, replacements and apparel size exchanges.

Collect apparel sizes once, in April

If the plan includes T-shirts or hoodies, run one size survey at the start of the year and keep it updated as people join. It saves a week of chasing replies before every apparel order, and it makes your quantity forecast more accurate.

Step 2: Map the corporate gifting calendar for India, with Diwali on 29 October 2027

FY 2027–28 runs from 1 April 2027 to 31 March 2028. Its biggest gifting date is Diwali, which falls on Friday, 29 October 2027, according to Wikipedia's Diwali entry and the date reference site days.to. The festival lasts several days and starts before the 29th, and many offices slow down that week. Plan for gifts to reach desks and homes before the festive days begin, not on Diwali itself.

Working backwards from Diwali

At Printing Labs, production takes 7–10 business days after mockup approval. Delivery then takes 2–4 business days by air or 5–9 business days by surface. Add time for your internal team to approve the mockup and, if you have several offices, to distribute gifts across branches.

In practice, that means placing the Diwali order in the first half of September, with mockups approved by mid-September at the latest. Express production is available only on selected items, so ask us early. Don't build the plan around it.

Other occasions to mark on the calendar

- April: new financial year, budget approval, first onboarding batch.

- Appraisal season: recognition gifts and award certificates.

- Campus batch joining: whenever your freshers start, usually as one large group.

- Foundation day or company anniversary: team T-shirts or a shared gift.

- Offsites and winter events: hoodies or sweatshirts for cooler locations.

Step 3: Assign a per-employee gifting budget band to each occasion

Give each occasion a budget band before choosing products. Tapwell says most Indian companies spend between ₹500 and ₹2,000 per gift. That is a vendor's view, not survey data, but it is a useful sense check. A simple four-band structure works for most companies.

- Under ₹500: recognition, work anniversaries, event giveaways and team apparel. A Classic Steel Water Bottle - Black Matte works for awards because people use it every day, and a Round Neck Cotton T-Shirt - 180 GSM is the usual choice for foundation day or an offsite. Pair awards with Custom Certificates - A4/ A5 so the gift has a name and a reason on it. Browse more in gifts under ₹500.

- ₹500–₹1,000: basic onboarding kits and winter merchandise such as the Premium Cotton Hoodie. See gifts under ₹1,000.

- ₹1,000–₹2,000: Diwali for all employees, mid-tier clients and fuller welcome kits. See gifts under ₹2,000.

- ₹2,000 and above: key clients, leadership and long-service milestones.

For onboarding, a ready kit keeps every joiner's experience consistent all year. The Perk Up Swag Pack falls in the under-₹1,000 band and covers the basics: a steel bottle, notebook, touch pen, tote, welcome card and laptop stickers in a magnetic box.

Remember that every Printing Labs price includes standard logo branding and excludes GST.

Step 4: Use the bulk discount tiers to stretch the annual gifting budget

Most Printing Labs products have four quantity tiers:

- 3% off at 25+ units

- 5% off at 50+ units

- 7% off at 100+ units

- 10% off at 200+ units

The annual plan shows you where combining orders reaches a better tier. Three tactics work well:

- Order onboarding kits in batches. Order 25 or 50 kits for a quarter or half-year instead of five a month, and store them centrally.

- Use the same product for several occasions. If the same bottle covers quarterly awards and anniversaries, ordering it in one go can push the quantity into the next tier.

- Round up near a tier. Say you need 190 units at 7% off. Ordering 200 at 10% off gives you ten extra units for roughly the price of three and a third. If you have a use for the spares, such as late joiners or replacements, rounding up usually pays.

Where discounts don't apply: gourmet

Gourmet food items have no bulk discount. Because packs are priced item by item, the non-gourmet items in a festive pack earn the quantity discount, but chocolates, dry fruits and nut mixes stay at full price. Budget them at full price. For example, adding Ferrero Rocher Chocolate to a Diwali kit adds the same amount per unit whether you order 30 or 300.

Also note that gourmet items, candles and packaging are add-ons. They are sold only with at least one other product, so you cannot order a sweets-only Diwali gift.

Step 5: Pre-approve artwork and standard kits in April

Approvals are the part of the timeline you control, so settle these in April while there is no deadline:

- Logo files: vector artwork, brand colours and approved placements in one shared folder.

- Branding method per product: DTF on T-shirts, hoodies, caps and bags; laser or UV on most steel and aluminium bottles; sublimation on ceramic mugs; laser on pens, and on a steel logo plate for PU leather goods; digital printing on certificates and cards.

- Standard kits: choose a default onboarding kit, a default award, a default festive pack and a default client gift. Starting from ready-made preset packs is quicker than building every kit from scratch.

Use Mockup Studio to see your logo on shortlisted products before anyone signs off. Every order still gets a digital mockup for approval before production. If the standard kits are agreed in April, approving that mockup in September takes a day, not a fortnight.

A sample corporate gifting budget plan for a 200-person company

Here is how the steps come together for a hypothetical company with 200 employees on 1 April, about 40 expected new joiners and around 40 clients. Bands are shown before GST and before discounts.

Onboarding: about 40 joiners

Use an under-₹1,000 kit such as the Perk Up Swag Pack. Two batches of 25 earn 3% each, and one batch of 50 earns 5% if you have storage space. Either way, ordering 50 builds in a buffer for late joiners. Budget: 50 kits within the under-₹1,000 band.

Diwali: all employees plus buffer

This is the biggest line. By October, headcount may be around 210–220, so with a 5% buffer, plan for about 220–230 packs. A ₹1,000–₹2,000 pack at that quantity reaches the 10% tier on its non-gourmet items. The Festive Brand Swag Pack fits this band: a jute bag, insulated bottle, tumbler, notebook, pen and laptop stickers, with a greeting card, chocolates and a magnetic box. Budget: about 220–230 × ₹1,000–₹2,000, so roughly ₹2.2 lakh to ₹4.6 lakh before GST. Place the order in early September.

Foundation day or offsite: team T-shirts

A round-neck T-shirt for all 200 stays under ₹500 a head and reaches the 10% tier. Collect sizes from the April survey.

Winter offsite or north-India offices: hoodies

If only part of the team needs winter wear, order around 100 hoodies in the ₹500–₹1,000 band to reach the 7% tier.

Getting the annual gifting budget approved by finance

Finance teams approve plans that look predictable. Present yours by occasion, with five columns for each line: recipients, quantity, budget band, order month and the discount tier it reaches. Show how much the consolidated orders save compared with ordering separately.

Two more points help. Printing Labs issues a GST invoice on every order, which keeps the paperwork clean. Ask your CA how gifts to employees and clients are treated for tax, because that affects the net cost. Then agree to review the plan each quarter against actual headcount, so the Diwali quantity reflects October's numbers.

Frequently asked questions

How much should we budget per employee for corporate gifts in a year?

Add up the occasions each employee receives a gift for. A common mix is one festive gift in the ₹1,000–₹2,000 band, plus team apparel or a smaller gift under ₹500. Tapwell, a gifting vendor, says most Indian companies spend ₹500–₹2,000 per gift, which works as a rough check rather than a rule.

When should we order Diwali gifts for 2027?

Diwali falls on 29 October 2027, but the festive days begin earlier. Production takes 7–10 business days after mockup approval, and surface delivery takes another 5–9 business days. Place the order in the first half of September and approve mockups by mid-September.

Do bulk discounts apply to gift packs?

Yes, item by item. Packs are priced per item, so the non-gourmet items earn the 3%, 5%, 7% or 10% tier for your quantity. Gourmet items such as chocolates and dry fruits have no bulk discount.

Can we order only sweets or dry fruits for Diwali?

No. Gourmet food, candles and packaging are add-ons and are sold only with at least one other product. Pair them with a bottle, mug, bag or stationery item, or choose a ready festive pack.

Do Printing Labs prices include branding and GST?

Listed prices include standard logo branding and exclude GST. Every order comes with a GST invoice, so add GST to each line when you build your annual budget.
