Onboarding Kits for Monthly Hiring Batches: Order per Batch, Hold Stock, or Use a Brand Store?

Hiring every month? Compare three ways to run onboarding kits for rolling batches: order per batch, hold quarterly buffer stock, or use a brand store.

If your company hires 10 to 100 people a month, the hard part of onboarding kits for monthly hiring is getting a kit to every batch on time, not choosing what goes in it. This guide compares three operating models (ordering per batch, holding quarterly buffer stock, and using a brand store or campaign link), plus home delivery versus a day-one desk drop. The short answer: order per batch when volumes are small and joining dates are predictable, hold buffer stock of size-free items once you cross a few dozen joiners a month, and consider a brand store when joiners are spread across cities.

The rolling-hire problem: why one-off welcome kit orders break down

Most welcome kit advice assumes a single large order, such as a campus batch, an office launch or a Diwali drive. Rolling hiring works differently. You might have 15 joiners on the 1st, eight on the 15th and a few lateral hires in between. Some offers are accepted late, and some candidates never turn up.

Each month, the HR or admin team ends up chasing a fresh quote, approving a mockup and hoping the parcels arrive before Monday. The same problems come up every time:

- Lead time stays the same for small batches. Production takes 7–10 business days after mockup approval. Delivery then takes 2–4 business days by air or 5–9 by surface.

- Small batches miss the better discount tiers. Most products get 3 % off at 25+ units, 5 % at 50+, 7 % at 100+ and 10 % at 200+.

- Apparel sizes have to be collected for every batch, and one missing size can hold up the whole order.

- Remote and multi-city joiners need individual parcels, not one carton sent to head office.

The fix is to choose an operating model on purpose rather than by habit. Once the model is clear, deciding what goes in the kit gets much easier. Our employee onboarding kits hub covers contents and formats in more detail.

Model 1: order onboarding kits per hiring batch

This is the default for most companies. Every month you finalise the joiner list, collect sizes, place the order, approve the digital mockup and receive the kits. Nothing sits in a storeroom, and every kit carries your current logo.

The timeline you have to work backwards from

Add up the stages. Production takes 7–10 business days and air delivery adds 2–4, so you need roughly 9–14 business days from mockup approval to the doorstep. Surface delivery stretches that to about 12–19 business days. Then allow time for freezing the headcount, collecting sizes and approving the mockup on your side.

In practice, freeze the joiner list three to four weeks before the joining date. Express production is possible only on selected items, so ask us early if a batch is tight. Don't build your process around it.

When per-batch ordering works best

- Monthly volumes are modest, at roughly 25–50 joiners or fewer.

- Joining dates are fixed, such as the 1st and 15th of each month.

- Most hires are lateral candidates serving a notice period, which gives you weeks of runway.

- The kit changes often, for example with seasonal items or different kits by department.

The trade-offs are repeated admin every month, lower discount tiers, and late joiners who fall between batches and get nothing until the next cycle.

Model 2: quarterly buffer stock of welcome kits

In this model you order a quarter's worth of the core kit in one go and then hand out or dispatch kits as people join. Say you hire about 40 people a month. A quarterly order of 120 kits moves most products into the 7 % tier, and an order of 200 or more reaches 10 %. Packs are priced item by item, so the tiers are worked out on each item in the kit. Gourmet add-ons are the exception, because they carry no bulk discount.

Finance teams often prefer this model too. It means one purchase order and one GST invoice per order. It is also easier to line up with quarterly budgets and with planning before the financial year closes in March.

Storage, sizes and obsolescence risk

Buffer stock only works if you manage three risks:

- Storage. A hundred boxed kits take up real space. Printing Labs provides inventory and warehousing services. According to the Printing Labs website, branded stock is held in climate-controlled warehouses with real-time inventory tracking. It can then ship to one office in bulk or as separate parcels to each person. Ask us about storage terms, duration and quantities for your volumes before you plan around it.

- Sizes. Keep apparel out of the buffer. A T-shirt stockpile almost always runs out of M and L while XXL piles up. Hold the size-free core in stock and order T-shirts per batch once sizes are in.

- Obsolescence.

Model 3: a brand store or campaign link for new joiners

The third model aims to take kit distribution off the HR desk. Printing Labs offers private company brand stores and gifting campaigns. The idea is to replace spreadsheets and email chains with a company-specific store or link.

This approach is worth exploring for:

- Remote-first or hybrid teams spread across many cities

- HR teams that want to cut down repeated monthly admin

- Companies that also want a merch store for existing employees, events and referrals

We won't oversell it. How a store or link works for new joiners depends on how your programme is set up. That covers inventory, redemption, minimums and how sizes and addresses are captured. Talk to us about your monthly volumes and locations before you design your onboarding process around it.

Comparing the three models for onboarding kit management

Here is a side-by-side comparison so you can match a model to your hiring pattern.

- Order per batch. Best for small, predictable monthly batches. Lead time is the full production-plus-delivery cycle every month, discounts depend on each batch's size, the admin load is monthly, and the main risk is late joiners missing a cycle.

- Quarterly buffer stock. Best for steady volumes of a few dozen or more a month. Kits are ready to go once stock is in, a larger order can reach higher tiers, and the admin load is quarterly. The main risks are storage, sizes and logo changes.

- Brand store or campaign link. Best for distributed and remote teams. It can reduce repeated admin once it is running, but plan the set-up, stock and redemption with us first.

Many companies mix models. A common combination is buffer stock for the core kit and per-batch orders for apparel.

Pre-joining home delivery vs a day-one desk drop

The second big decision is where the kit lands.

Pre-joining home delivery sends the kit to the joiner's address a few days before day one. It fills the quiet gap between offer acceptance and joining with something tangible, and it is the only option for remote hires. Printing Labs ships individual parcels pan-India, and according to the Printing Labs website, delivery reaches more than 19,000 pin codes. A sturdy outer box matters here, because these parcels travel through couriers rather than office hands.

The Black Corrugated Mailer Box - 9x12x4.5 inch takes sticker branding and gives courier parcels a sturdier outer layer. Like all our packaging, it is sold only together with other products.

The main risk is no-shows. A candidate who drops out still keeps the kit. To reduce this, dispatch only after joining is confirmed, or ship a lighter kit before joining and hand over the rest on day one.

A day-one desk drop ships the batch in bulk to the office, where facilities places a kit on each desk. Nothing is lost to no-shows and you send one shipment instead of many, but it only works for office-based joiners. Choosing a standard onboarding kit to reorder against

Every model works better with a standard kit: the same products and the same approved mockup, so each reorder repeats a known order rather than starting a new project. Build it around items that don't need sizes and don't go out of date:

- Classic Steel Water Bottle - Black Matte gets used every day and takes laser or UV branding on steel.

- Classic Soft Cover Notebook has a DTF-printed cover and is useful from the first meeting.

- Premium Mobile Touch Pen is laser-engraved, easy to stock and never goes out of fashion.

- Thank You / Welcome Card - 4"X6" is digitally printed, so you can change the message each batch without touching the rest of the kit.

If you would rather not assemble a kit yourself, three ready packs suit different seniority levels and budget bands.

Under ₹1,000: the buffer-friendly kit. The Perk Up Swag Pack combines the bottle, notebook, touch pen, a cotton tote, laptop stickers and the welcome card in a magnetic box. It contains no apparel, which makes it ideal for Model 2 stock.

₹1,000–₹1,500: the standard joiner kit. The Elite Starter Kit pairs a round-neck T-shirt with a smart temperature insulated bottle, notebook, touch pen, mouse pad, keychain, stickers and the welcome card. Hold everything except the T-shirt in stock and order shirts per batch.

₹2,000–₹2,500: senior and lateral hires.

Building a quarterly reorder calendar around your hiring plan

Once you have a model and a standard kit, a simple calendar keeps everything on track:

1. Get the hiring forecast from talent acquisition at the start of each quarter, including expected campus and lateral joiners.

2. Choose the model per item: buffer stock for size-free items, per-batch orders for apparel, and home or desk delivery by location.

3. Collect sizes and addresses in your pre-joining form so nobody has to chase them later.

4. Set a reorder trigger. Production and delivery take roughly two to four weeks depending on air or surface, so reorder when the buffer drops to about one month of joiners.

5. Review the kit once a year, ideally during appraisal season or before the new financial year, and retire items people don't use.

Frequently asked questions

What is the minimum quantity for a monthly onboarding kit batch?

Bulk discount tiers on most products start at 25 units, so batches of 25 or more get better per-unit pricing. If your monthly batches are smaller, tell us your volumes and we'll suggest the most practical way to order. A quarterly buffer is often the answer.

Do bulk discounts add up across monthly batches?

Bulk tiers are set by quantity, so check with us whether separate monthly orders can count towards a higher tier. If you want to place one larger order and have it dispatched in batches, ask us how we can structure it for your hiring plan. Gourmet items never carry a bulk discount.

How far ahead should we order kits for a new joiner batch?

Plan for 7–10 business days of production after mockup approval, plus 2–4 business days by air or 5–9 by surface. Freezing the joiner list three to four weeks before the joining date leaves room for size collection and approvals.

Can Printing Labs store our welcome kits and ship them as people join?

Yes, Printing Labs offers inventory and warehousing and can ship either in bulk to an office or as individual parcels. Storage terms, duration and quantities depend on your programme, so confirm them with us when you plan the buffer.

How do we handle T-shirt sizes for rolling hires?

Add a size field to your pre-joining form and order apparel per batch once sizes are in.
