A good campus hiring welcome kit is built for someone who has just packed their life into two suitcases. That means a sturdy laptop backpack, an insulated bottle, a hoodie and tee they will actually wear, and a lanyard for the training campus. This guide covers what freshers use in their first 90 days, how to get kits to training centres in batches of 50–500, a slimmer intern version, sizing for people you have not met, and a realistic timeline for joining dates that keep moving.

Why a campus hiring welcome kit is different from a lateral-hire kit

A lateral hire already owns a laptop bag, has a desk setup and knows what to wear to work. A fresher often has none of these. Many are moving cities for the first time, living in a PG or a shared flat, and still working out what being a professional looks like.

That changes your priorities. Desk accessories that delight a mid-level manager, such as a wooden organiser or an executive pen, matter less than things a fresher carries every day. Run every item past three questions:

- Will they use it in a PG room, a training classroom and on the commute?

- Does it replace something they would otherwise buy in their first month?

- Does it make them feel part of the company before they have a team?

Scale matters too. According to Business Standard, Wipro announced plans to onboard 10,000–12,000 freshers in FY2025-26. Your batch may be 60 people rather than thousands, but the lesson holds: a fresher kit has to be simple to produce consistently and easy to hand out. The relocation reality: bags, bottles and PG-room basics

The first 90 days of a fresher's working life are mostly logistics: finding a room, working out the commute, sitting through long training sessions. Money is tight. Deccan Herald reported that some Infosys freshers who joined after a two-year wait earned a net salary of around ₹16,000. That is a single report, but it explains why practical items that save a first-month purchase are valued far more than ornamental ones.

A backpack that carries everything

The Casual Laptop Backpack - 15.6 inch is the item freshers use most visibly. It carries a laptop to training, notebooks to class and a change of clothes on weekend trips home. The logo goes on with DTF printing, so it stays crisp on fabric.

An insulated bottle for long training days

Training days run long, between AC classrooms and cafeteria queues. The Smart Temperature Insulated Bottle - Black keeps water cool between sessions and sits on a desk as a daily brand reminder. It is branded by laser or UV printing on steel.

A notebook for training notes

Even in a laptop-first world, freshers take handwritten notes in training. A Classic Soft Cover Notebook with a DTF-printed logo gets used daily for weeks, which is more than most welcome kit items can claim.

Identity pieces freshers wear: hoodie, tee and lanyard

For a fresher, the company is not yet a team or a project. It is a logo, a campus and a batch. Wearable pieces turn that logo into something they belong to.

The hoodie they live in

The Premium Cotton Hoodie is the piece that shows up in batch photos, late-evening study sessions and cold training halls. Keep the design clean, with a chest logo printed by DTF, so they are happy to wear it outside work too.

The tee for orientation and team activities

The Round Neck Cotton T-Shirt - 180 GSM works for orientation day, outbound activities and group photos. Matching tees make a new batch look like a team on day one.

The lanyard they wear every day

Multicolour Lanyards are sublimation-printed in your brand colours. Training campuses usually issue ID cards, so confirm with us that the lanyard attachment suits the cards your training centre uses before you order.

One tip: avoid printing a batch year or joining month on apparel. If dates slip, an evergreen design still works.

Ready-made student packs or a custom fresher kit

You can build a fresher kit item by item, or start from a ready pack designed for this audience.

The Basic Student Pack includes the round neck tee, the smart insulated bottle, a soft cover notebook, a mobile touch pen and a mouse pad in a magnetic gift box. It sits in the ₹1,000–₹1,500 band and suits large batches where you want every fresher to get a consistent, useful kit.

The Student Elite Pack steps up to the hoodie, the casual laptop backpack, the insulated bottle, a notebook, touch pen, cap and mouse pad. It falls in the ₹2,000–₹2,500 band and covers almost everything on the relocation list.

Training-centre logistics for batches of 50–500

Many large employers train freshers at a dedicated campus before posting them to a city office. According to Careers360, citing PTI, Infosys freshers do their foundational training at its Mysuru campus. Your kits may therefore land at a training centre, not the office where the fresher will eventually sit.

Training can also run well past 90 days. A 2023 report in The Register said Wipro requires new hires to complete a four-to-six-month training programme called Velocity. If your company works the same way, the bottle, backpack and notebook will be used mostly in training, so choose items for that setting.

For batch delivery, plan the following:

- Ship to the training centre when the batch joins together, rather than to scattered home addresses that may change after relocation.

- Pack one kit per person, with the apparel size marked on the outside, so the facilities team can hand out kits quickly.

- Name a receiver at the centre and share the expected delivery window with them.

- Split by location if freshers train in different cities. We ship pan-India; ask us how to divide one order across several centres.

- Set up the welcome desk for orientation day so kits are handed over in person, not left on chairs.

When joining dates slip: planning for deferrals

There is no single campus joining season to plan around. According to Business Standard, Wipro onboarded around 7,000 freshers in the October–December quarter and expected 2,500–3,000 more in the last quarter of FY25. NewsBytes reported that Infosys gave over 1,000 graduates a joining date of 7 October 2024. Editorji, citing the Times of India, reported that Wipro, TCS and Infosys had deferred onboarding, with some freshers given no definite joining date.

The lesson for kit planning: tie orders to confirmed joining letters, not offer counts.

- Order in waves. Place one order per confirmed joining batch instead of one large order for the whole year's offers.

- Keep artwork evergreen. No dates, batch names or campus names that could go out of date.

- Skip perishables for kits that may wait. Gourmet items have a shelf life, carry no bulk discount and are sold only as add-ons, so keep them for kits going out immediately.

- Use staggered gifting. Our campaigns setup suits companies that onboard in several waves through the year.

Intern welcome kits: the slim version

Interns stay for weeks, not years, and often join as a summer cohort from colleges. They still deserve to feel welcome, but the kit can be smaller.

A practical intern kit is a round neck tee, a lanyard and an insulated bottle, with a notebook if they will attend sessions. That combination stays under ₹1,000 per intern. If you want a boxed kit, the Perk Up Swag Pack includes a steel bottle, notebook, touch pen, cotton tote, welcome card and laptop stickers in a magnetic box, also under ₹1,000.

Intern cohorts are often small. Bulk discount tiers start at 25 units, so for a smaller group, ask us what makes sense, or combine interns with a fresher batch order.

Sizing apparel for a batch you have not met yet

Sizing is the most common headache in fresher kits, because you are ordering for people you have only met on a video call.

- Collect sizes in the pre-joining form along with address and document details, so you are not chasing 300 people later.

- Share a size chart with measurements, not just S, M, L. Fits vary between brands, so ask us for the chart for the exact hoodie or tee you choose.

- Keep a small buffer in the two most common sizes for late joiners and exchanges.

- Match apparel to the training location. A hoodie suits a cooler campus or heavily air-conditioned halls; a tee alone may suit hotter cities.

- Confirm the size range with us before you send the form, so you only offer sizes we can produce.

For a ready kit like the Basic Student Pack, ask us to confirm the tee sizes available for your quantity before you lock the order.

Timeline: working back from the joining date

Work backwards from the day the batch walks into the training centre.

1. Confirm count, items and budget, and request a quote.

2. Approve the digital mockup. Every order gets a mockup before production; the faster you approve, the sooner production starts.

3. Production: 7–10 business days after mockup approval.

4. Delivery: 2–4 business days by air, or 5–9 by surface, depending on the destination.

5. Buffer: a few days for the training centre to receive, sort and set up the welcome desk.

In practice, start four to five weeks before joining. Express production is possible only on selected items, so if your date is close, ask us before assuming it can be done.

Budgeting a fresher batch and using bulk discounts

Every listed price includes standard logo branding and excludes GST, and you get a GST invoice on every order. For most products, bulk discounts apply at 3 % for 25+ units, 5 % for 50+, 7 % for 100+ and 10 % for 200+. Packs are priced item by item, and gourmet items carry no bulk discount.

For a batch of 200 freshers, that 10 % tier makes the Student Elite Pack worth comparing against a slimmer custom kit.

Ready to plan your next batch? Upload your logo in Mockup Studio to see it on the hoodie, backpack and bottle, then request a quote with your batch size and joining date. You can also download the catalogue to share with your HR and campus team.

Frequently asked questions

What should a campus hiring welcome kit include?

Focus on what a relocating fresher uses daily: a laptop backpack, an insulated bottle, a notebook, a hoodie or tee, and a lanyard. Desk décor and executive accessories matter less at this stage. The Basic Student Pack and Student Elite Pack are built around this list.

How much should we budget per fresher?

A solid kit sits in the ₹1,000–₹1,500 band, and a fuller kit with a hoodie and backpack falls in the ₹2,000–₹2,500 band. Intern kits can stay under ₹1,000. Prices include standard logo branding and exclude GST.

Can you deliver kits to more than one training centre?

We ship pan-India. Share the split by city and the receiver details at each centre when you request your quote, and we will confirm how we can handle it.

What if the joining date is deferred after we order?

This is why we suggest ordering per confirmed batch and keeping artwork free of dates or batch names. Kits without perishables can be held and handed out when the batch joins. Talk to us early if you expect deferrals.

How do we get apparel sizes right for freshers we have not met?

Add a size question with a measurement chart to your pre-joining form and keep a small buffer in the most common sizes. Ask us to confirm the available size range for your chosen hoodie or tee before sending the form.
