Bulk Corporate Gift Pricing in India: How MOQs, Branding and Shipping Actually Add Up
A bulk gifting order has four cost layers — unit price, branding, kitting and shipping — and the catalogue price is only the first. How each layer is really priced, and how to read a quote.

"What will 200 branded gifts cost us?" is the most common question in corporate gifting — and the least usefully answered. The honest answer is that a bulk gifting order has four separate cost layers, and the per-unit price you see in any catalogue is only the first one. This guide walks through all four, so the quote you eventually receive makes sense line by line — and so no vendor can surprise you.
The four layers of a gifting order
Every bulk corporate gift order in India is priced across the same four layers:
1. Unit price — the product itself, at your quantity tier
2. Branding — applying your logo, priced by method and quantity
3. Kitting and packaging — turning items into a gift
4. Shipping — priced by weight and destinations, not per box
Understanding each layer is the difference between comparing quotes and comparing numbers.
Layer 1: unit price — and why quantity changes it
Catalogue prices are per-unit product prices at a given quantity. Two mechanics matter:
Minimum order quantities. Most customized products carry an MOQ — ours start at 5 units for the majority of the catalogue. MOQs exist because branding has a fixed setup component (screens, digitising, jigs) that must amortise across the run.
Volume tiers. Per-unit prices improve meaningfully at 50+ and 100+ quantities, because that same setup cost spreads across more units and production runs get efficient. This is why a 100-unit order is rarely 10× the price of a 10-unit order — and why it pays to consolidate gifting occasions into fewer, larger orders where you can.
One more honest note: catalogue prices are quoted exclusive of GST. Any vendor quote should say this explicitly either way — see layer four's twin, the invoice.
Layer 2: branding — method decides cost
Logo application is priced by method × quantity × locations (a chest logo and a sleeve logo are two print locations). The method is chosen to match the material, and each has its own cost profile:
- Screen printing — economical at volume for flat surfaces; setup cost per colour
- Embroidery — priced partly by stitch count; the durable choice for apparel and caps
- Laser engraving — no consumables, premium permanent finish on steel and bamboo
- UV printing / DTF — full-colour capable, priced per piece; suits complex logos
- Embossing / debossing — tooling cost up front; the leather-goods finish
- Sublimation — full-wrap colour on coated items like mugs
The practical takeaway: at 50+ units, a single-location print typically keeps the landed unit cost close to the catalogue band, while multi-colour, multi-location branding on premium methods adds visibly. Layer 3: kitting and packaging
Loose items are merchandise; a packed box is a gift. Kitting covers assembly (packing 4 items per recipient into one box), the box itself (printed sleeve → rigid magnetic box is a wide cost range), insert cards, and any per-recipient personalisation like name tags. As a planning rule, packaging is the layer with the widest discretion: it can be a small fraction of the budget or the hero of it. Layer 4: shipping — weight, not boxes
Bulk gifting shipping in India is billed on chargeable weight (₹ per kg) — actual or volumetric, whichever is higher — with a practical per-location minimum (a single light box to one address still bills as its floor weight). Three consequences:
- Consolidated office delivery is cheapest per recipient: one destination, efficient weight.
- Individually addressed home delivery costs more — each address carries its own weight floor — but it's the layer that makes hybrid-team gifting work at all, with per-recipient tracking.
- Heavy items ship expensively. A ceramic mug programme's shipping line will surprise you; a notebook programme's won't.
A good vendor quote states shipping as its own line against your actual destination mix rather than burying an average in the unit price.
The invoice: GST, quotes and what "landed" means
A proper B2B gifting quote is per kit, not per line item, and states its boundaries: product cost at your tier, branding by method, packaging as specified, shipping for your destination mix, and GST added per the applicable rates with a compliant invoice. When you compare vendors, compare landed cost per recipient — the only number your budget actually feels.
Timelines are a cost too
Standard customized production runs 7–10 business days after proof approval — and the proof step is where your calendar is really spent, so have your logo files and approvals ready. Planning 4–6 weeks ahead for festive season is cheaper than paying urgency in choices.
